Refunds, Credits & Extensions
You must pre-register for all Extraordinary by Design and/or Tracey Tink services, programs, workshops and events online. Therefore, advanced payment is required. It is important to understand our cancellation policy before requesting a refund or extension.
We accept Visa, MasterCard, American Express, and other payment methods as displayed at checkout through our payment platforms (Kajabi and Vagaro). All prices are in US dollars unless otherwise specified. Any refund will be processed in exactly the same way payment was received.
Processing Timeline: All approved refunds are processed within 3 to 5 business days from the date of approval. We have no control over how quickly your financial institution posts the refund to your account.
REFUND OPPORTUNITIES
There are limited-time opportunities for refunds depending on the specific purchase, specific action/inaction and the factor of time. The details are as follows:
DIGITAL PROGRAMS AND COURSES
Due to the fact that digital programs release all content to you immediately upon payment, you then have everything that you paid for and require for your program experience. Therefore, there are LIMITED time opportunities for a refund including but not limited to the following:
Full Refund Available If:
- You have (a) NOT logged into the program content AND (b) no more than 7 days have expired from date of purchase, then a full refund minus $50 USD (payment processing and administrative fees) will be provided according to our official refund policy (see below)
OR
- You have logged into the program yet no more than 3 hours have expired from first login, then a full refund will be provided according to our official refund policy (see below)
After these windows, no refunds are available. However, see "Extensions" below for potential alternatives.
UNWINDING THE WOMAN WITHIN CIRCLE (UWWC) - MONTHLY MEMBERSHIP
UWWC operates on a monthly membership basis with automatic recurring payments scheduled on the date you initially registered.
Refunds for New Members: If you are a new member (you have never participated in UWWC before) AND you meet ALL of the following conditions:
- You have not attended more than one (1) circle gathering
- You have not downloaded any resources from the members community
- No more than 7 days have expired since your first payment
Then you will be issued a full refund for that month and your auto-pay will be canceled immediately.
Cancellations for Continuing Members: If you have participated in UWWC previously and wish to cancel your membership, you must give us 7 days notice before your next auto-pay date. Your membership will remain active through the current billing period.
To cancel, email us at [email protected] with subject line "UWWC Cancellation" or manage your subscription through your Extraordinary by Design Community account.
There are no exceptions to these rules. However, see "Extensions" below for potential alternatives.
YOUR EXTRAORDINARY YOU: 90-MINUTE TRANSFORMATION SESSION
Due to the fact that payment is due upon booking, there are LIMITED time opportunities for a refund:
More Than 48 Hours Notice: If you give more than 48 hours notice, you can cancel and/or reschedule your appointment online through calendly with ease and without penalty. Your payment will be applied to your next appointment or issued as a full refund within 3 to 5 business days. We have no control over this timeline.
Less Than 48 Hours Notice: If you give less than 48 hours notice, you cannot cancel or reschedule online yourself. You must reach out to us at tracey@extraordinarybydesign with subject line "Session Cancellation."
- If we have a waiting list and can fill your appointment time, you will be issued a full refund within 3 to 5 business days. We have no control over this timeline.
- HOWEVER, if we are unable to fill your appointment, a 50% cancellation fee will apply. A partial refund of 50% will be processed within 3 to 5 business days.
- If you are a chronic late canceler (3 or more times in a period of 1 year), then NO refund will apply after the 4th late cancellation if we cannot fill the appointment.
Same-Day or No-Show: If you give same-day notice and/or do not show up for your appointment, there is NO refund, no exceptions.
Our Commitment: We understand life happens. This policy exists to honour both your time and ours, as transformation work requires us to hold dedicated space for you. Reminder emails are sent before each scheduled appointment to support you in honouring your commitment.
WORKSHOPS AND MULTI-SESSION PROGRAMS
Deposits: Deposits are non-refundable unless we cancel the workshop or program. Your deposit can be moved to a different date if we have a waiting list for that workshop.
More Than 5 Business Days Notice: If you give more than 5 business days notice before the workshop/program begins, you can cancel and/or change your registration online with ease and without penalty. Your payment (minus deposit) will be applied as a credit toward your next workshop/program or issued as a refund within 3 to 5 business days. We have no control over this timeline.
Less Than 5 Business Days Notice: If a workshop or program begins in less than 5 business days, you cannot cancel or reschedule online yourself. You must reach out to us at [email protected] with the subject line "Workshop Cancellation."
- If we have a waiting list and can fill your spot, you will be issued a full refund (minus deposit) within 3 to 5 business days. We have no control over this timeline.
- HOWEVER, if we are unable to fill your spot, then NO refund will apply.
After Program Begins or No-Show: If a workshop or program has already begun, or you give us same-day notice and/or do not show for the workshop, there is NO refund, no exceptions.
Our Commitment: When you register for a workshop, we hold space for you and turn others away. This policy protects the integrity of the group experience and honours everyone's commitment. Reminder emails are sent before each workshop to support you.
TRAINING COURSES
Deposits: Deposits are non-refundable unless we cancel the training course. Your deposit cannot be moved to a different date even if we have a waiting list for that course.
More Than 14 Days Notice: If you give more than 14 days notice before the training course begins, you can cancel your registration online. Your payment (minus deposit) can be held as a credit and applied to a future training course or issued as a refund within 3 to 5 business days. We have no control over this timeline.
Less Than 14 Days Notice: If the training course begins in less than 14 days, you cannot cancel or reschedule online yourself. You must reach out to us at [email protected] with subject line "Training Course Cancellation."
- If we have a waiting list and can fill your spot, you will be issued a refund (minus deposit) within 3 to 5 business days. We have no control over this timeline.
- HOWEVER, if we are unable to fill your spot, then NO refund will apply.
After Course Begins or No-Show: If you leave once a training course has begun, or you give same-day notice and/or do not show for the course, there is NO refund, no exceptions.
Our Commitment: Training courses require extensive preparation, materials, and holding space for deep learning. This policy ensures we can deliver the quality experience you deserve. Reminder emails are sent before the course begins.
RETREATS (If Applicable)
Deposits: Deposits are non-refundable unless we cancel the retreat. Your deposit cannot be moved to a different date even if we have a waiting list for that retreat.
More Than 30 Days Notice: If you give more than 30 days notice before the retreat begins, you can cancel your registration. Your payment (minus deposit) can be held as a credit and applied to your next retreat or issued as a refund within 3 to 5 business days. We have no control over this timeline.
Less Than 30 Days Notice: If you give less than 30 days notice, you must reach out to us at [email protected] with the subject line "Retreat Cancellation."
- If we have a waiting list and can fill your spot, you will be issued a refund (minus deposit) within 3 to 5 business days.
- HOWEVER, if we are unable to fill your spot, then NO refund will apply.
After Retreat Begins or No-Show: If you leave once a retreat has begun, or you give same-day notice and/or do not show for the retreat, there is NO refund, no exceptions.
Third-Party Arrangements: If you have travel, private activities, and/or accommodation booked that was not part of our service offering, we cannot be held responsible nor get involved in the cancellation process for those arrangements.
Reminder emails are sent before the retreat to support you.
REFUND REQUEST PROCESS
If you are requesting a refund within the time and rule parameters set above, follow these steps:
For Services Booked Through Extraordinary by Design Website: Go online using the registration link sent to you upon purchase or included in your most recent reminder email and cancel the service. Your payment source will be notified immediately and will begin the process with our payment provider. This can take up to 3 to 5 business days. You will receive a confirmation email when this process has begun.
For Services Booked Through Vagaro: Manage your appointment through your Vagaro account or contact us directly at [email protected] with subject line "REFUND REQUEST."

EXTENSIONS
You are eligible to APPLY for an extension for the following:
- Monthly memberships (UWWC)
- Multi-session programs or training courses
- Unwinding the Woman Within Workshop
- Extraordinary by Design Method
Important Notes:
- This is an application process. You may be approved or declined based on the circumstances. We do our best to approve all requests but hold the right to decline for any reason.
- This is a one-time opportunity per program. You will receive either (a) a 4-week extension OR (b) your services will be paused and put on hold for up to 12 months.
- Extensions are not available for single transformation sessions or workshops.
To Apply for an Extension: Send an email to [email protected] using the subject line "EXTENSION REQUEST" and we will email you the extension application form within 2 business days.
Extension Considerations: We understand that life circumstances can change. Extensions are considered on a case-by-case basis for situations such as:
- Medical emergencies or health challenges
- Family emergencies
- Significant life transitions
- Other extenuating circumstances
We cannot guarantee approval but will work with you when possible to honour both your needs and the integrity of our programs.
PAYMENT OPTIONS
We offer flexible payment options to make transformation work accessible while honoring the commitment required for meaningful change.
PAY IN FULL
Pay the full program amount upfront and receive:
- Immediate access to all program components
- No additional fees
- Standard refund policy applies (where applicable)
MONTHLY PAYMENT OPTION
For select programs, you may choose to pay monthly rather than upfront.
How It Works:
- You commit to the full program duration (e.g., 3 months of 1:1 coaching)
- Payments are automatically processed monthly on the date you enrolled
- You maintain full program access as long as payments remain current
- Total investment remains the same whether you pay monthly or upfront
Programs with Monthly Payment Option:
- 3-Month 1:1 Transformation Coaching
- Unwinding the Woman Within 8 Week Workshop
- Unwinding the Woman Within Circle (ongoing monthly membership)
Your Commitment: By choosing monthly payments, you are committing to:
- Complete the full program duration
- Maintain current payment status throughout the program
- Honor the program timeline even if you choose to discontinue
PAYMENT REQUIREMENTS
Timely Payment:
- Payments are due on the same day each month
- Late payments (5+ days overdue) may result in:
- Suspension of program access until payment is current
- $50 late payment fee
- Rescheduling of missed sessions to end of program
Failed or Missed Payments: If your payment fails or is not received:
- We will email you within 24 hours
- You have 5 business days to update payment information and process payment
- If payment is not received within 5 days:
- Your program access will be suspended
- Your remaining balance becomes due in full
- A $75 reactivation fee applies to resume the program
Updating Payment Information:
- Keep your payment method current (update before cards expire)
- Update payment information in your account portal or email [email protected]
- Proactive communication prevents interruption to your transformation journey
WITHDRAWING FROM A PROGRAM
If You Choose to Discontinue:
- No refunds for months already paid
- You are responsible for the full program investment you committed to
- Remaining monthly payments become due immediately upon withdrawal
- Program access ends when you withdraw
Why This Policy: When you enroll, we dedicate space, time, and energy specifically for you. We turn away other clients to honour your commitment. Monthly payments are a convenience, not a trial period.
Extenuating Circumstances: We understand life can bring unexpected challenges. If you experience genuine hardship (medical emergency, family crisis, job loss), contact us immediately at [email protected]. We may be able to offer:
- A program pause (up to 60 days)
- Payment arrangement for temporary hardship
- Extension to complete your program
These are evaluated case-by-case and require documentation. They do not eliminate your financial obligation but may provide breathing room.
CANCELING ONGOING MEMBERSHIPS
For Monthly Memberships (like UWWC):
- You may cancel anytime with 7 days notice before your next billing date
- Email [email protected] with subject line "Membership Cancellation"
- Your access continues through the current billing period
- No refunds for partial months
APPOINTMENT POLICIES
For Programs Including Scheduled Sessions:
CANCELLATIONS AND RESCHEDULING

- Reschedule yourself online without penalty
- Note: Finding a new time slot may take 2-3 weeks
- Tip: Book all your sessions in advance to maintain momentum
Less Than 48 Hours Notice:

- If this becomes a pattern (3+ times), a $50 rescheduling fee may apply
No-Show (Missing Your Appointment):
- Session is forfeited, no makeup session provided
- To resume your session schedule, a $75 makeup session fee applies
- Exception: Contact us within 24 hours with a genuine emergency and we'll work with you
Why These Policies Matter: Your scheduled time is held exclusively for you. Last-minute changes or no-shows prevent us from supporting other clients and disrupt your own transformation momentum.
GROUP SESSIONS
For Programs with Group Components:
- Group sessions are highly encouraged but not required
- All sessions are recorded and available within 24-48 hours
- You'll get more from the program when you show up live - the group energy, real-time support, and collective wisdom accelerate your transformation
COMPLETING YOUR PROGRAM
Timeline:
- Programs must be completed within their designated timeframe
- Example: 3-month coaching = sessions must be used within 3 months
- Sessions cannot be "banked" or saved beyond program end date
- Extensions may be available (see below)
Sessions Are Included in Your Investment:
- All sessions are built into your program cost
- Unused sessions are forfeited, not refunded
- Program results depend on completing all components

- Short Extension: Additional 2-4 weeks to complete your program
- Program Pause: Freeze your program for 30-90 days (one time only)
- Payment Arrangement: Temporary adjustment for financial hardship
Important Notes:
- Extensions are evaluated case-by-case
- Approval is not guaranteed
- One extension per program
- Your financial commitment remains the same
- Communication is key - reach out before you fall behind

FORCE MAJEURE
In the event that Extraordinary by Design must cancel a workshop, program, training course, or retreat due to circumstances beyond our control (including but not limited to natural disasters, public health emergencies, facility issues, or instructor illness), we will:
- Notify you as soon as possible
- Offer you the choice of:
- Full refund (including deposit)
- Credit toward a future date of the same program
- Credit toward a different program of equal or lesser value
We are not responsible for any travel arrangements, accommodations, or other expenses you may have incurred.
